Who is responsible?

BREAKFLIP SAS operates Judge Companion to help staff run Yu-Gi-Oh! tournaments. Its contact details are in our legal mentions. This policy covers staff accounts and tournament records, including players who do not sign in.

What information is used?

• Discord sign-in: your Discord user ID, username, display name and avatar. Discord supplies these details; sign-in asks Discord for nothing else, and in particular not for your email address or the list of servers you belong to. Accounts created before 18 September 2026 may still hold the email address Discord supplied at the time. Your Discord password is never shared with us.
• Access and assignments: your membership and roles in the tournament's judges' Discord server, read by our bot in that server, your COSSY / Neuron badge number, account status, and tournament roles and floors.
• Tournament records: player and staff names and COSSY numbers supplied by organisers through KTS imports, pairings, results, scores, deck information, deck checks, penalties, extra time and notes entered by staff. Original tournament files, import logs and correction audit records are also retained.
• Technical data: sign-in and session records, Discord access and refresh tokens, IP addresses, browser information and operational logs used to run and secure the service.

Why is it used?

We use this information to authenticate staff, check access, assign roles, manage matches and judging decisions, resolve corrections and keep the service secure. These activities serve our legitimate interests in running tournaments fairly and maintaining a reliable staff tool, taking account of the rights of staff and players.

Discord sign-in is required to use the staff features. A COSSY number is optional: it is only used to link the tournament records KTS created for you to your account. Public round timers can be viewed without an account. The service does not use personal data for advertising or sell it, and does not make automated decisions with legal or similarly significant effects.

Who can access it?

Authorised tournament staff can access records according to their role and assigned floor. Breakflip administrators and the technical provider, Respawn, can access information needed to operate and support the service. Public timer pages show event and round information, without publishing staff accounts or individual player records.

Discord handles authentication and membership checks. Your browser also requests fonts from Google Fonts and may load avatars from Discord, sharing technical request information such as your IP address with those providers. Their processing may take place outside the European Economic Area and is governed by their own policies and transfer safeguards: Discord privacy policy and Google privacy policy. Our application database and files are hosted in France.

Cookies

Judge Companion uses cookies needed for Discord sign-in and to keep your session open. Sessions expire after 30 days unless renewed through use; signing out ends the active session. Blocking these cookies prevents staff sign-in. We do not add advertising or analytics cookies.

How long is information kept?

Staff accounts support participation in future events and are not deleted when a tournament ends. Tournament records remain until an administrator removes the event; there is no automatic deletion at the end of a round or tournament.

Retention needs depend on continued staff access, tournament follow-up, the resolution of disputes and the need to trace account or judging corrections. Audit records and backups may remain separately from live tournament records for these purposes. You can contact Breakflip to request deletion or details about the retention of your records; session expiry alone does not delete your account or tournament history.

Your rights and how to contact us

Under applicable data protection law, you can request access to, correction or deletion of your personal data, restriction of processing, and portability where applicable. You can object to processing based on legitimate interests. These rights may be subject to limits, for example where records are needed to establish or defend legal claims.

Write to BREAKFLIP SAS, 2 Avenue Pierre-Gilles de Gennes, 37540 Saint-Cyr-sur-Loire, France, marked “Judge Companion — Privacy”. Provide your Discord identifier or the tournament and COSSY number concerned so we can locate your records. We may need to verify your identity before acting on a request.

You can also revoke Judge Companion's access in Discord's authorised application settings. This does not itself delete records already held by Judge Companion.

If you believe your rights have not been respected, you can lodge a complaint with the French supervisory authority, the CNIL, or your local data protection authority.
